Job Description

Dispatcher Responsibilities:

  • Coordinates key tasks and functions with customer service, transportation and operations departments to procure product (original delivery or rerun) and assign/reassign rerun drivers based on delivery time priorities
  • Exercises discretion to transfer the Delivery or Pick Up of Party Rental products from one route to another in order to achieve time windows
  • Dispatches 5-130 drivers and up to 240 Driver Helpers per day while also working independently on nights, weekends and holidays
  • Tracks and supervises drivers while en route utilizing MobileCast and Roadnet
  • Communicates directly with Operations, Customer Service, Transportation staff to coordinate the selection of products needed for customer or PRL initiated reruns on a daily basis
  • Assists drivers with route schedules, delivery problems and logistics in the States of New Jersey, Connecticut, New York and Pennsylvania
  • Ensures that all calls for vehicle repair and maintenance are handled in a timely fashion
  • Since PRL works 24/7 the Dispatcher must demonstrate strong decision making and organizational skills
  • Demonstrates good oral and written communications skills via telephone/radio with Co-workers, Customers, Client Venue Management, Event Planners, PRL Sales Staff and other company associates in all departments
  • Monitors the mobile cast system and checks with drivers to find out if they are having difficulties making deliveries or pickups, then reassigns and redirects routing as necessary to achieve delivery, customer service and efficiency targets [move this up
  • Develops optimum routes that minimize driver/helper costs, route efficiency, fuel cost and meets pickup or delivery windows
  • Adjust delivery and pick up sequences on routes to achieve site location time constraints.
  • Problem solves delivery/pick up issues including product shortages
  • Monitoring drivers in relation to their remaining hours of service and vehicles as to their availability to make deliveries and pickups on time
  • Determine location of drivers and reroute them based on knowledge of pickup and delivery schedules , time of day, traffic, customer requirements and weather conditions
  • Accountable for allocation and recovery of company assets from drivers including Keys, EZ Pass and Nextels
  • Adjust route departure times based on daily loading activity and traffic/weather conditions
  • Determine multi truck departure and loads to be shuttled throughout the day
  • Maintain and evaluate daily logs for errors or violations of DOT or internal company requirements
  • Maintain accurate data in Roadnet database
  • Reconcile Projected versus Actual route data
  • Prepare Delivery Invoices and documents
  • Accurate Data entry of delivery resources and equipment into MobileCast
  • Report preparation including KPI, Daily Accountability Reports and Forecasts
  • Must complete delivery training courses consisting of Route Rides, Dance Floor installation, Platform installation, Kitchen Equipment setup and Propane certification
  • Adhere to D.O.T. regulations

Dispatcher Qualifications

  • High School Diploma or Equivalent
  • Previous experience working in Dispatch or transportation industry
  • Knowledge of the Tri-State Area or relevant geographical areas
  • Excellent communication, interpersonal skills.
  • Proficient in Routing and Dispatching using Roadnet or similar TMS.
  • Excellent Computer Skills-Microsoft applications Excel, Access, Outlook and Word
  • Exceptional written/verbal problem-solving skills
  • Ability to work in a fast-paced, dynamic environment
  • Must have the ability to meet Deadlines
  • Must have the ability to interface with Managers and Customer Service
  • Must have excellent organization skills
